For recruitment agencies

An ATS stores candidates. This one does the work.

An applicant tracking system is a place to keep candidates. A database, a pipeline, and a record of who said what. It waits for a recruiter to act. FunnelIt is built for recruitment agencies and does the acting: it reads every CV, scores it against the job, writes the shortlist email, sends the questions, books the interview and prepares the question sheet. This page explains where that difference shows up, and what it means if you already have an ATS or a CRM.

What an ATS does, and where it stops

An ATS is good at holding things. Candidates, jobs, stages, notes, attachments, and a history of what happened.

Everything that moves a candidate forward is still a person doing it. Somebody reads the CV. Somebody writes the email. Somebody chases the reply and finds a slot in a diary.

That is fine when applications arrive in tens. It stops working at a few hundred a week, which is where most agencies hiring for 5 or more jobs at once actually live.

What FunnelIt does instead

Every CV is read and scored against the job before a recruiter opens it, with a written reason for the score.

Shortlisted candidates get 5 questions written from their own CV. Then a short personal email invites them to pick a time from your calendar.

Move a candidate on the board and the right email is sent for you. Applied, shortlisted, questions sent, answers in, interview booked, decision. Each step has its message already written, and you see exactly what went out.

You can keep the CRM you have

You do not have to stop using what your team already knows. Agencies run FunnelIt for the part an ATS leaves to people — reading, asking, emailing, booking — and keep their CRM for client relationships and placements.

Nothing here asks for a password to a job board or to another system.

What your client sees

One click turns a candidate into a one-page profile in your agency's colours. Summary, highlights, skills, match score.

Every contact detail is removed, so a client cannot go around you to the candidate. That is the difference between software written for an agency and software written for an in-house team, and most tools sold to agencies are the second kind.

The CVs you already have stop being dead weight

Every candidate who ever applied stays searchable. When a new job comes in, the AI ranks the people already in your database and contacts them first.

A database of old applicants is the asset every agency has and almost nobody works. It is usually faster than starting an advert.

Leaving, and what you take with you

Export the whole account — candidates, CVs, messages, notes — as a file, whenever you want.

You set how long candidate records are kept. The system deletes them on time, and shows you what is due before it does.

There is no contract and no exit fee. If it has not worked, we have wasted our time and not yours.

Questions

How is this different from an ATS?

An ATS stores candidates and waits for you. This one does the work. It reads every CV, scores it against the job, writes the shortlist email, sends the questions, books the interview, and prepares your question sheet. An ATS is somewhere to keep candidates. This is something that works on them.

We already have a CRM. Do we have to stop using it?

No. Most agencies keep their CRM for clients and placements, and use FunnelIt for the screening, asking, emailing and booking that an ATS leaves to people.

Can our client contact the candidate directly?

Not from the profile you send. Contact details are removed from the one-page client profile, so the client comes back to you.

What happens to our data if we leave?

You export the whole account as a file and take it with you. There is no contract and no exit fee.

How big does an agency need to be?

It is built for agencies hiring for 5 or more jobs at once, where recruiters cannot keep up with the applications arriving. Smaller than that and you do not need it yet.
